A sample can look convincing and still leave the most important production questions unanswered.
Was it made in the final material? Is the logo method identical to the planned bulk process? Does the box contain the confirmed insert? Are the color, dimensions and accessories approved, or was the sample sent only to demonstrate shape?
Useful corporate gift set samples do more than create confidence. They define what has been approved, what remains open and which physical or written reference will control bulk production.

Buyer quick answer
For every sample, write down:
· the purpose of the sample;
· which materials, colors, dimensions and functions are final;
· whether the logo method and position match the planned order;
· which packaging elements are included;
· what is not represented by the sample;
· who approves it and which dated version becomes the production reference.
Do not rely on “sample approved” as a complete instruction. Approval should be attached to measurable specifications and clear photographs.
1. Begin with the question the sample must answer
Different samples solve different problems. Ordering one expensive complete sample at the beginning is not always the fastest route.

2. Approve dimensions and function before decoration
A beautiful logo cannot correct a product that is the wrong size or uncomfortable to use.
For a notebook, check the finished size, opening, page construction, closure, pen loop, pockets and any special feature. For a bottle, check capacity, lid operation, mouth design, coating area and accessory fit. For a bag or pouch, check dimensions, strap or handle length, zipper action, lining, seam position and the way it folds into the box.
Record the approved dimensions and tolerances in the specification. A photograph beside a ruler can support the record, but the written measurement remains important.

3. Treat material and color as separate approvals
Two products can have similar colors while using very different materials and surface processes.
Material approval should state the component being approved, not only a broad product label. For example, a notebook may combine a fabric cover, paper, elastic and an accent panel. A bottle may combine stainless-steel parts, a coating, a lid insert and a strap.
Color approval should also record the reference and viewing conditions. A color may appear different on paper, fabric and coated metal because the base material, texture and gloss are different. The realistic goal is a coordinated brand appearance, not an unsupported promise that every surface will look identical.

4. Approve the logo on the actual surface
A digital mockup confirms approximate position. It does not prove ink coverage, edge quality, contrast, texture response or durability.
For each decorated product, the product sample approval should cover:
· artwork version and logo orientation;
· finished logo width and height;
· distance from an agreed edge or seam;
· decoration method and color reference;
· acceptable contrast and texture interaction;
· any test or handling requirement that has actually been agreed;
· which side of the product is considered the presentation side.

5. Approve the complete set, not only each product
Individual samples can pass while the assembled set still fails.
A notebook may fit the box by itself but overlap a bottle after the insert is added. A bag may look correct when flat but cover the message card when folded. A pen may be approved but disappear beneath filler. Different logo marks may also compete when all products are viewed together.
A final branded gift set sample should therefore confirm:
· product count and orientation;
· opening view and brand hierarchy;
· internal fixing and ease of removal;
· folding of straps, cords and textile products;
· location of cards, labels and accessories;
· closed-box fit and external appearance;
· packing sequence for repeatable assembly.

6. A two-product set still needs several approvals

7. Convert comments into a controlled approval record
Scattered messages such as “move it slightly left” or “use the darker blue” can be interpreted differently by sales, design, production and inspection teams.
Use one approval record with:
· project name and product code;
· sample stage and version number;
· dated photographs from agreed angles;
· specification sheet and artwork filename;
· approved features;
· rejected or pending features;
· required corrections;
· approver name and date;
· statement of which version controls production.
When a change is accepted, issue a new version rather than editing an old approval silently. The pre-production sample and the final written specification should agree before production begins.
8. Control changes after approval
Late changes are sometimes necessary, but they need a clear impact review.
Changing the logo size can affect the printing plate, screen, fixture or visual balance. Changing a bottle color can affect coating availability. Replacing one product can change the insert, box height and assembly sequence. Adding another artwork version may change the MOQ allocation and packing risk.
For every change after approval, ask:
1. Which approved documents and samples are now obsolete?
2. Does the change require a new decorated sample or only a digital confirmation?
3. Does it affect MOQ, price, production time or shipping volume?
4. How will the new version be identified during packing and inspection?

9. Build bulk inspection from approved features
Bulk production quality control should not begin with a generic checklist copied from another product. It should follow the approved sample and the likely failure points of the actual set.

The inspection method, sample size and acceptance criteria should be agreed for the order. Do not invent a pass rate or claim a test result that has not been performed and recorded.
10. Make the production clock explicit
“Lead time” is incomplete unless the start condition is defined.
For the TGS920 and TGS921 reference configurations previously confirmed with OKASA, the working MOQ is 1,000 complete sets and the stated production range is 20 to 35 days after the required specification and approvals are confirmed. International shipping is separate. This reference should not be transferred automatically to another product, packaging structure or artwork split.
For the actual order, ask the supplier to state:
· which sample stage is required;
· sample-production and delivery time;
· the date by which feedback must be returned;
· the exact approval that starts bulk production;
· the production range for the approved specification;
· inspection, packing and shipping milestones.

11. What to send for a sample plan
Provide:
· product links or model numbers;
· expected quantity and version allocation;
· required materials, colors and functions;
· vector logo files and position references;
· packaging direction and message-card requirements;
· destination and required delivery date;
· which features are highest risk or cannot change;
· required tests, labels, certificates or transaction documents.
Ask the supplier to recommend the necessary sample stages, cost, timing and what each sample will represent. The most useful proposal is not always the one with the fewest samples; it is the one that resolves the important risks before bulk production.
Frequently asked questions
Is a digital mockup enough to approve a logo?
It can approve approximate position and scale, but it does not prove the result on the actual material. A physical decorated sample is more appropriate when color, texture, edge quality or durability is important.
Can a blank sample approve the final order?
Only for the features it actually represents, such as size or basic function. Final branding, material, color and packaging still need separate confirmation if they are not included.
Must every component be sampled separately?
Not always. Existing approved products may only need a new logo or packaging sample. The supplier should identify which variables are already controlled and which are new for the order.
What happens if the buyer changes the artwork after sample approval?
The previous approval should be marked obsolete, the effect on tooling, MOQ, price and timing should be reviewed, and the new version should be approved at the appropriate level.
