· the exact products, dimensions and orientation inside the box;
· which items need rigid fixing and which can use controlled filler;
· the opening experience and visible brand hierarchy;

1. Start with the finished arrangement, not the empty box
An empty box can appear spacious. Once a bottle, notebook, pen, pouch or textile item is added, usable space changes quickly.
A buyer should first approve a top-view arrangement showing:

· whether labels and important details remain visible;
· where the recipient can place a hand to remove each item;

4. Decide what must be fixed
Not every product needs the same type of internal support.
A coated bottle can roll or strike another item. A pen can disappear below filler. A soft bag can be folded, but an uncontrolled fold may cover a logo or create creases. A notebook can help create a stable visual plane, but its corners still need clearance from the box wall.
Gift box inserts are especially useful when:
· products have very different weights;
· the set contains a bottle, ceramic item or another hard component;
· the opening presentation must remain consistent after transport;
· the packing team needs fixed positions to prevent missing or misplaced items.
Filler may be suitable when the products are light, flexible and tolerant of small position changes. The buyer should still approve the filler material, amount, color and final packed appearance rather than treating filler as an unspecified accessory.
5. Measure the finished package twice
Internal and external dimensions answer different questions.
Internal dimensions determine whether the products and insert fit. External dimensions affect master-carton planning, warehouse space and freight calculation. Board thickness, lid overlap, insert height and protective wrapping can all change the finished result.
Ask the supplier to record dimensions in a consistent order, normally length × width × height, and state whether the figures refer to the inside or outside of the finished box.

· orientation of the gift boxes inside the carton;

6. Give each brand element a job
More printing does not automatically produce a stronger brand experience.
A practical branded gift box packaging system can assign different roles:
· the box carries the primary brand mark;
· a sleeve or label carries campaign-specific information;
· a card explains the message or product story;
· selected products carry smaller marks suited to their materials.

7. Use real products to test the packaging logic
Product pages are useful as starting evidence, but the final packed sample must still be approved for the actual order.

8. Confirm the packing sequence before production
A box design is incomplete until the packing team can assemble it consistently.
Ask for a packing sequence that identifies:
1. how the empty box and insert are prepared;
2. which product is placed first;
3. how straps, cords or handles are folded;
4. how filler is measured and distributed;
5. where cards, labels and protective sheets are placed;
6. how the lid is closed and the finished box is checked;
7. how the gift boxes are oriented inside the export carton.
This sequence supports accurate assembly, inspection and quotation. It also exposes designs that look attractive in one hand-packed sample but are difficult to repeat across a bulk order.
9. Approve packaging at three levels
Do not approve only the artwork.
Structure approval
Check internal fit, opening, removal of each product, lid tolerance and insert strength.
Appearance approval
Check printed color, logo position, surface finish, edge wrapping, filler and presentation after closing and reopening the box.
Transport approval
Check the finished gift box inside the proposed export carton. Confirm carton quantity, dividers, orientation and the condition expected after the agreed handling or test plan.
The required checks depend on the product and shipping route. Do not claim a packaging test has been completed unless the scope, method and result can be documented.
10. Send a packaging brief that can be quoted
For a useful first proposal, provide:
· product links, dimensions and required quantity;
· the items that must remain in the set and those that may be replaced;
· preferred opening style and presentation priority;
· logo artwork, brand colors and printed-message versions;
· destination and required delivery date;
· whether the quotation should include product packing, export cartons and freight;
· any material, labeling, testing or documentation requirements.

Frequently asked questions
Is a custom rigid box always the best choice?

Should every product have a separate cavity?
